Getting Started with PracticeWings
Step 1: Create Your Account
Start by visiting practicewings.com and clicking Get Started Free. You'll create a personal account that serves as both your login and your admin identity within your firm.
- Enter your name, email address, and a secure password.
- Check your inbox for a verification email and click the confirmation link.
- Once confirmed, you'll be taken to the organization creation screen.
Use your work email
We recommend signing up with your firm email address. This makes it easier for teammates to find your organization and keeps everything professional.
Step 2: Set Up Your Organization
Your organization is the central workspace for your firm. All clients, tasks, documents, and billing are scoped to your organization.
- Enter your firm name (e.g., "Smith & Associates CPA").
- Choose your firm size and primary service types.
- Upload your firm logo — this appears in the client portal and on invoices.
- Set your firm's primary timezone for scheduling and deadline calculations.
- Select your fiscal year start month.
Multi-office firms
If your firm has multiple locations, you can add additional offices after initial setup under Settings > Offices. Each office can have its own address, phone, and staff assignments.
Step 3: Invite Team Members
PracticeWings works best when your whole team is connected. Inviting staff early lets you assign tasks, set up workflows, and route client portal messages correctly.
- Go to Settings > Users & Roles.
- Click Invite User and enter your team member's email address.
- Assign a role: Staff, Manager, or Admin.
- Optionally assign them to a specific office.
- Click Send Invitation. They'll receive an email with a link to create their account.
Invited users can join immediately — no waiting period. Each user's role controls which features and data they can access.
Step 4: Import Your Clients
Bring your existing client list into PracticeWings using our CSV import tool. You can also add clients one at a time through the Clients section.
- Navigate to Clients in the sidebar.
- Click Import Clients.
- Download the sample CSV template to see the required column format.
- Fill in your client data and save the CSV.
- Upload your file and map the columns to PracticeWings fields.
- Review the import preview, then click Confirm Import.
Review before importing
The import preview shows potential errors like duplicate emails or missing required fields. Fix these in your CSV before confirming to avoid duplicates.
Supported fields include: client name, entity type, contact name, email, phone, address, assigned partner, and custom fields you've defined.
Step 5: Configure Your First Workflow
Workflows (called Jobs in the UI) are reusable templates that define the steps to complete a service. Start with one of our built-in templates — Tax Return Preparation is a great first choice.
- Go to Tasks > Job Templates in the sidebar.
- Click New Template or Browse Template Library.
- Select a starting template or create one from scratch.
- Add steps, assign default roles to each step, and set dependencies between steps.
- Save the template.
- To start a job for a client, go to the client's page and click New Job.
You're ready to go!
With your organization set up, team invited, clients imported, and first workflow configured, you're ready to start managing your practice in PracticeWings.
